What is a system?

A system is an integral part in an office. It is from a system the office moves on smoothly. Not only in office, in every part of our life we need a system to follow. For example – look at our life. It has its own system. We are sleeping at night, getting up at dawn. After dawn, our daily routine starts - brushing, bathing, toilet etc, then breakfast. After that,  work, then lunch, then again work, then tea, then again work. In night, we are engaged in leisure and after that we sleep. This is a system in which our body works. If it is not proper then our health suffers the setbacks. Any violation of the rules of this system breeds serious ailment, and to overcome it, we have to return to the system rules. For example 
  • If we don't sleep enough we get many disease, so the doctor will advice us to sleep. 
  • If your food habits is a hindrance to your  health, you have to change your food habits. 
  • If you are not getting rest, then you have to take rest. 
The maintenance of a system is the maintenance of health. In exactly the same way an office works. Every office of  any nature, either a big establishment or a small one, will follow a system for working. Following a particular system depends upon the norms of the firm. Every firm has different systems for working and superiors will make sure that each person is working along with system, and is fulfilling his duties as per system norms. When the system is violated or have not reached up to its goal then the employee gets punishment or disciplinary actions from his superiors. Thus maintaining a system is vital in business setup.

System depends upon people

A system can't function properly without people at its helm. Even an efficient system needs people to control it. Without people, system can't be utilized to the perfection. Imagine an office with only a system and no people, can that office establishment function smoothly? Imagine the best PC in the world, either Mac, or other, and also it is using latest software of Linux or Windows, will it function without an operator? No. There should be a man behind the computer for operating.  A PC gives back what you put in it. Output depends upon input. Software is only an output into which we have to feed input. A computer does only those operations which it was fed with in advance by some other individual. And now it is some other individual who is utilizing that feedback information which is needed for work. When he is utilizing the software, then he is converting that program into his work. From the above example stated, Individuals can be called as “input” and system is the “output” in an office atmosphere. Therefore both are interdependent.

How to manage people?

As per a survey conducted, nearly 90% of people don't like to go to office on Monday and 60% of executives don't like to go to office even as the week progresses and reaches Friday. A team leader or superior has to manage such reluctant people and make the best out of them, which seems to be an uphill task. So let us analyze how to manage such people.

Man by nature is egoistic. He is always a competitor. Whenever he gets the chance to mingle with other individual, he will try to dominate those individuals. This will develop as friction and destabilize the team in the first place, after that working system also gets a beating. This friction happens only when both try to dominate each other. Even if we do wrong, we love to blame others. For example - Two kids were playing. Suddenly one kid came to his mother and said that his friend broke the window. She asked the other kid what really happened. The kid replied, "I threw a stone at him and he ducked, there was a window nearby, hence it broke." We love the blaming game, right from the childhood and it spreads through out the professional and personal life.
Thus, how to interact with others without dominating them, is the million dollar question that has to be answered.  We can take some precautions to make this issue settled. These guidelines of how to dominate others without making friction is what we learn in this workshop.

3.There are a few powerful techniques said by our saints of yore which you can learn while you attend our seminars. Here are some additional tips which are very useful............
  1. Prioritize and pass on what to do and what not to do. It is necessary to remain on top discipline. Verify how a pious religious guy is living. Brahmins and Muslims are a better example. Their life is always restricted by discipline. They always have to behave in a modest manner, and from dawn until dark they are acting according to discipline by performing rituals and ceremonials. Discipline your thoughts, deeds and words which are the key factors for success in any field. Do things that ought to be  done and don't do things that ought not to be done. Discipline is to do those things exactly as said above. So practice discipline yourself and make your team follow that discipline.
  2. Set an example. Invest a little time in observing your team members, what are their positive points and what are their weak points and try to improve those points, from bad to good and from good to more better. For doing that the simple thing to do is to -Set an example of yourself by doing great deeds before asking them to do so. You can't do great deeds all the time, but you can do it more often than the mediocre ones. This will inspire the team members to follow suit.
  3. Value difference and foster diversity. So you have to breed your team carefully. People think they are intelligent, so always deal with them with respect. When they say good things and do good things, you have to acknowledge it. When they say foolish things and do foolish things, then without blaming them, you should figure out their mistakes and guide them to understand their follies. 
  4. Show empathy – view things from several perspectives. Never look at the personal differences (caste, creed, hobbies, etc). Only look at the difference in the work field and train them accordingly. Every person is an individual who has his own interests, which may not suit you. You as a leader only have the right to deal with official matters not his personal matters. You should respect his freedom to do his deeds as long as it is not interrupting official  work or success of the team. 
  5. Encourage open dialogue and knowledge sharing. Every one will have   interesting ideas, so try to be receptive and let them be free to share their ideas.
